<h2 class="wp-block-heading"><strong>How to Edit a PDF in Google Drive</strong></h2>



<p class="wp-block-paragraph">Google Drive stands as one of the best ways to create and share documents across the web. It is a cloud-sharing platform that allows you to create and upload documents to share with others. Google Drive allows you and other users to view and collaborate on documents with ease. And, as it just so happens, the PDF is one of the best document formats available for sharing and conveying information. So, does Google Drive work with PDFs?</p>



<p class="wp-block-paragraph">Yes! In fact, Google Drive is a great place to upload, save and host a PDF, outside of <a href="https://pdf.live/resources/pdf-basics/pdf-file-management/">PDF.Live&#8217;s Studio</a>. We’ll be going through the strengths and weaknesses of using Google Drive as a platform as well as how PDFs work with Drive.&nbsp;</p>



<p class="wp-block-paragraph">First, you’ll need to set up a Google account, if you don’t have one. This tutorial on Google’s site explains <a href="https://support.google.com/drive/thread/255621540/google-drive-account-setup-and-access?hl=en" target="_blank" rel="noreferrer noopener">how to set up a Google Drive account</a>.</p>



<h2 class="wp-block-heading"><strong>Converting PDFs to Google Docs</strong></h2>



<p class="wp-block-paragraph">Google Drive allows you to create and host documents in a number of formats. Some formats you may be familiar with, like .doc, .docx, .xlsx, and, of course, .pdf, work on Google Drive. If you already have an existing PDF document, dragging and dropping the file into Google Drive will upload it to the cloud. This means that you can now access it from any computer logged into your Google Drive account. </p>



<p class="wp-block-paragraph">Once the PDF is uploaded to Google Drive, you have a few options.&nbsp;</p>

<p class="wp-block-paragraph">You can share it with other Google Drive users (this will require them to <a href="https://support.google.com/accounts/answer/27441" target="_blank" rel="noreferrer noopener">set up a Google account</a>), get a direct link so that anyone with the link can view the PDF, as well as rename and manage the PDF’s properties.&nbsp;</p>



<p class="wp-block-paragraph">But what if you want to convert an existing PDF to an editable document in Google Docs?</p>



<p class="wp-block-paragraph">While this is technically possible, it will likely alter or even damage the formatting settings that were originally placed in the document.&nbsp;</p>



<p class="wp-block-paragraph">To convert a PDF document to an editable Google Doc:&nbsp;</p>



<ol class="wp-block-list">
<li>Upload the PDF to Google Drive.</li>



<li>Right-click the PDF in Google Drive.</li>



<li>Select <strong>Open with</strong> and then Google Docs.&nbsp;</li>
</ol>



<p class="wp-block-paragraph">You can also double-click the PDF to view it and then select<strong> Open with Google Docs</strong> at the top. Note that the formatting will be heavily altered during the conversion, though. Here is an example from a Harvard Business Review ebook we uploaded to Drive and used Google Docs to convert. On the left is the cover of the HBR article &#8220;as is,&#8221; and on the right is the cover as Google converted it. You can see that it strips away formatting.</p>

<p class="wp-block-paragraph">While Google has some kinks to perfect with its PDF to Google Doc converter, you can use PDF.Live’s PDF to DOC converter, which retains as much of the original formatting of the PDF document as possible. In the next screenshot, you’ll see that when we converted the HBR article, “The New Sales Imperative” using PDF.Live, the formatting of the cover was retained. When we open it in Windows, this is what we see:</p>

<h2 class="wp-block-heading"><strong>Converting Google Docs to PDFs</strong></h2>



<p class="wp-block-paragraph">If you’ve built a document in Google Docs, which is Google Drive’s document editor, that you’d like to share with someone else across the web, you can do that using the <strong>Share</strong> button in the upper right.</p>

<p class="wp-block-paragraph">If you’d prefer to convert it to a PDF format before sharing, it’s easy to convert a Google Doc to a PDF. Here is how:</p>



<ol class="wp-block-list">
<li>Open the document you want to convert in Google Drive.</li>



<li>Select <strong>File </strong>in the top left corner.</li>



<li>Select <strong>Download</strong> and then <strong>PDF</strong>.&nbsp;</li>
</ol>



<p class="wp-block-paragraph">You can then re-upload this PDF to Google Drive if you’d like to host the PDF on Google Drive to share with others. </p>



<h2 class="wp-block-heading"><strong>Converting Google Sheets to PDFs</strong></h2>



<p class="wp-block-paragraph">Google Sheets is Google Drive’s equivalent to Microsoft Excel. Sheets allows you to create spreadsheets, make databases, and host numerical information to make complex calculations easy. Again, to share, you click the <strong>Share</strong> button in the upper right, enter the recipient’s email address, and select whether you want to give them Viewer (view only), Commenter (view and comment), or Editor (view, comment and make changes) permissions. You can also add an expiration date for sharing the file. </p>



<p class="wp-block-paragraph">If you’d prefer to download your work in a PDF, perhaps to protect the formulas or to share only a portion of a sheet, the PDF is a perfect file format for this.&nbsp;</p>



<p class="wp-block-paragraph">To convert Google Sheets to a PDF:</p>



<ol class="wp-block-list">
<li>Open the document you want to convert in Google Drive.</li>



<li>Select <strong>File </strong>in the top left corner</li>



<li>Select <strong>Download</strong> and then <strong>PDF</strong>.&nbsp;</li>



<li>You will receive a preview of the exported PDF. In the options tab, you can adjust the paper size, the scale of the text, as well as the margins.&nbsp;</li>

<p class="wp-block-paragraph">Going the other way around (converting a PDF to a Sheets or Excel document) isn’t quite possible in Google Drive. For this, you’ll need a dedicated PDF converter tool, such as PDF.Live’s <a href="https://pdf.live/#convert-pdf">converter tool</a>, which allows you to convert various types of files to and from PDFs.</p>



<h2 class="wp-block-heading"><strong>Converting PDF to Google Slides</strong></h2>



<p class="wp-block-paragraph">Google Slides acts as Google Drive’s Microsoft PowerPoint equivalent. Google Slides is great for when you need to present information in an official capacity online. Having a Slides document allows you to present the information in full-screen mode and move through the slides as you present.&nbsp;</p>



<p class="wp-block-paragraph">Unfortunately, you cannot convert an existing PDF document to a Google Slides file. You will need a converter tool to perform this action. PDF.Live allows you to <a href="https://pdf.live/#convert-pdf">convert a PDF to a PowerPoint</a>, or .PPT, format that will work with Slides.&nbsp;</p>



<h2 class="wp-block-heading"><strong>Converting Google Slides to PDF</strong></h2>



<p class="wp-block-paragraph">A Google Slides presentation can be easily converted to a PDF within Google Drive. To do this, follow these steps:&nbsp;</p>

<li>Open the document you want to convert in Google Drive.</li>



<li>Select <strong>File </strong>in the top left corner.</li>



<li>Select <strong>Download</strong> and then <strong>PDF</strong>.&nbsp;</li>
</ol>

<h2 class="wp-block-heading"><strong>Why Your Resume Should Be a PDF</strong></h2>



<p class="wp-block-paragraph">When applying for a job online, present yourself with professionalism. A PDF keeps your layout exactly the way you designed it: spacing, fonts, margins, and everything else. That means:</p>



<ul class="wp-block-list">
<li>Your resume looks the same on every device.</li>



<li>Employers won’t see broken formatting.</li>



<li>ATS (applicant tracking system) software can parse your resume.</li>
</ul>



<p class="wp-block-paragraph">Unless a job posting specifically asks for a Word or other type of file, <strong>PDF is the safest choice</strong> for submitting your resume for a job.</p>



<h2 class="wp-block-heading"><strong>PDF vs. Word: Why It Matters</strong></h2>



<p class="wp-block-paragraph"><strong>Word files (.doc/.docx)</strong> can look different depending on:</p>



<ul class="wp-block-list">
<li>The version of Word the employer uses</li>



<li>Whether they use Google Docs, LibreOffice, WPS, etc.</li>



<li>Mac vs. Windows differences</li>

<p class="wp-block-paragraph">If your formatting breaks, your resume may look messy or unreadable — and that can hurt your chances of getting hired, as a hiring manager will have a hard time understanding your experience.</p>



<p class="wp-block-paragraph"><strong>PDFs</strong>, on the other hand, keep the layout intact no matter what software is used.</p>



<h2 class="wp-block-heading"><strong>Understanding ATS (Applicant Tracking Systems)</strong></h2>



<p class="wp-block-paragraph">Many employers use ATS tools to scan and sort hundreds of resumes they receive for a position. ATS systems:</p>



<ul class="wp-block-list">
<li>Read your work history, skills, and education</li>



<li>Look for keywords the employer wants</li>



<li>Filter out unqualified applicants before a human ever sees the resume</li>
</ul>



<p class="wp-block-paragraph">Hiring managers can then filter applicants based on the criteria for a position. Companies don’t have to disclose whether or not they use an ATS, so you may as well always have your resume ATS-optimized to improve your chances of getting through the application.&nbsp;</p>



<p class="wp-block-paragraph"><strong>To help an ATS read your resume:</strong></p>



<ul class="wp-block-list">
<li>Submit a PDF (unless otherwise requested).</li>



<li>Make sure your text is selectable (not an image).</li>



<li>Run your resume through an <a href="https://resumeworded.com/resume-scanner" target="_blank" rel="noreferrer noopener">online ATS checker</a> to make sure your experience is legible.</li>

<li>Written and verbal communication</li>



<li>Collaboration</li>



<li>Problem-solving</li>



<li>Time management</li>

<p class="wp-block-paragraph">Be prepared to speak to specific examples of your soft skills when you are interviewed. In other words, don’t just include those soft skills because the job posting mentioned them. Make sure you can speak to, “Tell me an example of a time when you showed attention to detail…”&nbsp;&nbsp;</p>



<h2 class="wp-block-heading"><strong>Resume Formatting Tips</strong></h2>



<p class="wp-block-paragraph">A clean, readable resume works best for both humans and ATS scanners.</p>



<h3 class="wp-block-heading"><strong>Avoid images</strong></h3>



<p class="wp-block-paragraph">ATS software can’t interpret photos, icons, charts, or graphics. It’s nice to have a photo of yourself on your resume, but this can break formatting. Not always necessary!</p>



<h3 class="wp-block-heading"><strong>Use standard fonts</strong></h3>



<p class="wp-block-paragraph">Stick with easy-to-read fonts that everyone has on their devices:</p>



<ul class="wp-block-list">
<li>Arial</li>



<li>Calibri</li>



<li>Helvetica</li>



<li>Times New Roman</li>



<li>Verdana</li>
</ul>



<h3 class="wp-block-heading"><strong>Don’t rely on fancy formatting</strong></h3>



<p class="wp-block-paragraph">PDFs preserve layout, but extreme formatting (excess columns, text boxes, graphics) can confuse ATS systems. You may find your skills being listed under a job description, for example. Keep formatting simple.</p>



<h3 class="wp-block-heading"><strong>Proofread everything</strong></h3>



<p class="wp-block-paragraph">Typos can cost you interviews. Have someone else look it over, too. Run it through an AI tool like ChatGPT, Gemini, or Claude to check for misspellings, grammatical errors and other potential issues.&nbsp;</p>



<p class="wp-block-paragraph">If you need layout ideas, check the <a href="http://indeed.com" target="_blank" rel="noreferrer noopener">sample resume database on Indeed.com</a>. If possible, search for resumes of people in the same field or who have the job title you’re aiming for. Ask a mentor or professional for industry-specific tips on resume formats for your position. </p>



<h2 class="wp-block-heading"><strong>How to Convert Your Resume to a PDF</strong></h2>



<h3 class="wp-block-heading"><strong>If you&#8217;re using a document editor (Word, Google Docs, Pages, etc.):</strong></h3>

<p class="wp-block-paragraph">The PDF file format is one of the best ways to share documents over the internet because it preserves the formatting of your documents. Why email works for PDFs:</p>

<li>PDF keeps your formatting intact.</li>



<li>Email lets you attach files, organize messages, and reach almost anyone.</li>
</ul>



<p class="wp-block-paragraph"><strong>How to attach a PDF:</strong></p>



<p class="wp-block-paragraph">Look for the <strong>paperclip icon</strong> when composing an email → browse for your PDF → attach → send. Most of the time, for 1 or 2 small PDFs, this will work fine. But what about larger documents?</p>



<h2 class="wp-block-heading"><strong>When Your PDF Is Too Large</strong></h2>



<p class="wp-block-paragraph">Most email services cap attachments. Gmail’s limit is <strong>25MB, </strong>for example. Email services also have data limits that you may hit if you’re sending and receiving too many PDFs. You will have to go through and delete old emails pretty regularly, or set up a system to have older emails automatically removed.&nbsp;</p>



<h3 class="wp-block-heading">Workarounds for Apple Mail and Gmail Users</h3>



<p class="wp-block-paragraph">Gmail: The simplest way to share files between Gmail users is to upload the file to Google Drive, select <strong>Share</strong> and enter your recipient’s email address. This works as long as your recipient has a Google account (how to <a href="https://support.google.com/accounts/answer/27441">create a Google account</a>).</p>



<p class="wp-block-paragraph">Apple: Apple users can use <a href="https://support.apple.com/guide/mail/send-large-attachments-mlhle695333c/mac">Mail Drop</a>, and your recipient can download the files from any device or email provider (Gmail, Outlook, etc.) using the link provided in the email.</p>



<h3 class="wp-block-heading">Options to reduce file size</h3>



<h4 class="wp-block-heading">1. Compress the PDF</h4>



<ul class="wp-block-list">
<li>Shrinks the file without changing the file type.</li>



<li>Use a <a href="https://pdf.live/pdf-management/compress-pdf">PDF compressor</a> if you only need a modest size reduction.</li>
</ul>

<h4 class="wp-block-heading">2. Zip the file</h4>



<p class="wp-block-paragraph">Best for multiple large PDFs, a zipped file is a super-condensed version of larger files, and it could contain one large file or several files that have been highly compressed and changed into a new file format with a .zip extension. The zip file’s icon will have a folder with a zipper on it, and is commonly used for transporting multiple documents or file types in a single folder.&nbsp;</p>



<ul class="wp-block-list">
<li>Create a <strong>.zip</strong> file containing all your documents.</li>



<li>Recipient unzips it (double click) to access the original PDFs and other files.</li>
</ul>

<p class="wp-block-paragraph">Just like PDFs, zip files and compressed files can be uploaded and attached to an email for sending to others. Because both PCs and Macs typically come with installed unzipping capabilities, most recipients will be able to open your zipped file to see your PDFs.&nbsp;</p>



<h2 class="wp-block-heading"><strong>How to Email One Page of a PDF</strong></h2>



<p class="wp-block-paragraph">If you only want to send a <em>single page</em> or <em>section</em>, you’ll first need to <a href="https://pdf.live/resources/pdf-basics/extracting-page-split-pdf/">extract that single page from a PDF</a>. This can be done either with PDF.Live or a web browser:&nbsp;</p>



<h3 class="wp-block-heading"><strong>Option A: Using PDF.live Editor</strong></h3>

<li>Open your PDF in the editor.</li>



<li>Go to <strong>Print</strong> → choose <strong>Pages</strong> → enter the page number(s).</li>

<h2 class="wp-block-heading"><strong>Can You Embed a PDF in an Email?</strong></h2>



<h3 class="wp-block-heading">Gmail: Not directly</h3>



<p class="wp-block-paragraph">Gmail <strong>doesn’t support PDF embedding</strong>, but it <em>does</em> support images. Because PDFs are similar to images, you can convert a PDF to an image with minimal impact on the formatting. We recommend first splitting the PDF into a single page that you want to share via email for the cleanest formatting.</p>



<p class="wp-block-paragraph"><strong>Workaround:</strong></p>



<p class="wp-block-paragraph">It’s important to note that converting a PDF to a JPEG works only for a single page. JPEGs do not support multi-page formats. So, this workaround is ideal if you want to embed a one- or two-page PDF.&nbsp;</p>

<p class="wp-block-paragraph">If the embed doesn’t look right, just attach the PDF normally. Outlook does actually allow you to view PDFs through the program, so there’s a chance you don’t need to embed the PDF in your email body.&nbsp;</p>

<p class="wp-block-paragraph">A ZIP file is one of the best ways to transfer large amounts of information across the internet. If you download a file that has the .ZIP or .zip extension, or have to “uncompress” a file, you’ve likely used a ZIP file already. But what is a ZIP file?</p>



<p class="wp-block-paragraph">Imagine that you’re packing your car for a trip and need to bring 3 tents and 4 lawn chairs. In the normal world, you’ll need to carefully position these objects so you can fit everything in your car. However, imagine that instead, you could compress the 3 tents down to a single dense object called “T”. You would similarly compress the lawn chairs down to an object called “L”. You’ve saved a lot of space doing this, but need to know how many tents that T contains and how many lawn chairs that L contains. So, you call the first object T3 and the second object L4, so when you’re unpacking, you know how many tents and lawn chairs you have. If only we could compress objects in real life!</p>



<p class="wp-block-paragraph">This is, in effect, how data compression works. A program looks for repeated patterns or data strings, and other information that it can then store in a simpler format that gives “instructions” of what it is when it’s unpacked. The resulting compressed archive is a ZIP file, and it saves a lot of memory space so it’s easier to send and download across the internet. When you receive a ZIP file, you’ll need to unzip it to access the information inside.&nbsp;</p>



<p class="wp-block-paragraph">That’s the technical explanation. The short, simplified answer is: A ZIP file is a squished version of larger files, and it could be one file or several files that have been highly compressed and changed into a new file format with a .zip extension.</p>



<h2 class="wp-block-heading">Zip vs Compressed PDFs: What’s the Difference?</h2>



<p class="wp-block-paragraph">A compressed file retains its original format, but the data is reduced or reorganized to make it smaller, often without losing any information (see <a href="https://pdf.live/resources/other/lossy-vs-lossless-file-compression/">Lossy Vs. Lossless File Compression</a>). When you compress a PDF, for example, the file format is still a PDF. When you zip a PDF, it becomes a compressed archive with a .zip extension.&nbsp;</p>



<p class="wp-block-paragraph">A ZIP file is not a compressed PDF; it’s just a container for information. The result is that ZIP files work with a lot of file types. Documents, images, and videos, for example, can all be compressed into a single ZIP file. The size savings will vary, but a ZIP folder is a great way to “package up” several files or file types into a single folder for storage or sharing.&nbsp;</p>



<p class="wp-block-paragraph">Another great part about using ZIP files is that you can easily make one using your computer, online, or on a mobile device. Other file types may require specialized software for compression or reduce their size.</p>



<h3 class="wp-block-heading">Can you just zip a PDF for easier sharing?</h3>



<p class="wp-block-paragraph">Yes, you can technically zip a PDF, instead of compressing it, but zipping and compressing a PDF aren’t exactly the same thing. Zipping is a type of compression.&nbsp;</p>



<ul class="wp-block-list">
<li><strong>ZIP file</strong>: A container that bundles one or more files together and compresses them for easier sharing. The files inside keep their original formats.</li>



<li><strong>Compressed file</strong>: A single file that’s been reduced in size — sometimes by removing or simplifying data — but it stays the same file type (for example, a smaller .pdf).&nbsp;</li>
</ul>



<p class="wp-block-paragraph">Remember, a ZIP file is a way to conveniently move large files and programs across the internet. Similarly, when you convert a .doc, .docx, or other file to a PDF, you’re putting it in a format that preserves your formatting settings. Single-page PDFs rarely have large file sizes, so you probably won’t ever need to ZIP a single PDF. If you’ve got an ebook in the form of a PDF, then zipping it makes it easier to share.</p>



<p class="wp-block-paragraph">However, if you’re moving multiple PDFs at a time, it can sometimes be convenient to put the PDFs into a single file and then ZIP that folder to be sent out in a single email. You do not need special software to unzip a standard ZIP file on Windows or Mac. Also be aware that ZIP files can contain many kinds of data, not just files that can be viewed as PDFs. Trying to convert a ZIP file directly to a PDF would be like trying to camp without first unpacking those tents and lawn chairs.</p>



<h2 class="wp-block-heading">How to Send Large Files by Zipping Them&nbsp;</h2>



<p class="wp-block-paragraph">Zipping a file is easy to do on both Windows and Mac. Both systems can zip files without external programs. These steps will actually work with any file type, including PDFs or a mix of files like JPG, PDF, DOC, and more.&nbsp;</p>



<h3 class="wp-block-heading">Zip a PDF on Windows&nbsp;</h3>



<p class="wp-block-paragraph">To zip a PDF or other large file into a folder on Windows:</p>



<ul class="wp-block-list">
<li>Click and drag the files that you want to compress into a single folder.</li>



<li>Right click that file or folder and select <strong>Send to</strong> and then <strong>Compressed folder</strong>.</li>



<li>You will see a folder with a “zipped” icon in the same location.</li>
</ul>



<h3 class="wp-block-heading">Zip a PDF on a Mac</h3>



<p class="wp-block-paragraph">To zip files into a single folder on a Mac:</p>



<ul class="wp-block-list">
<li>Click and drag the files that you want to zip inside a single folder.</li>



<li><strong>Control-click</strong> or <strong>right-click</strong> the folder and then choose <strong>Compress</strong> from the shortcut menu.</li>



<li>You will see a compressed file with the same name appear in the same location.&nbsp;</li>
</ul>



<p class="wp-block-paragraph">Alternatively, you can select multiple files from your desktop or file manager, right-click and select <strong>Compress</strong>. Note that the ZIP file defaults to the name Archive.zip.&nbsp;</p>

<p class="wp-block-paragraph">To open a zip file, you can use any Windows, Mac, or mobile device without extra software (the ability is built into most modern devices).</p>

<li>Locate the zipped folder you want to extract.</li>



<li><strong>Right click</strong> the folder, select <strong>Extract All</strong> and choose a location for the extracted files to be located.</li>



<li>Note that a zipped file can contain multiple files, which is why unzipping a file produces a folder.</li>

<li>Locate the zipped folder.</li>



<li>Double-click the ZIP file.</li>

<h3 class="wp-block-heading">What’s the fastest way to zip larger files?</h3>



<p class="wp-block-paragraph">The fastest way to ZIP a large file or folder is using a PC or Mac computer, which offer greater processing and disk speed. Beyond this, the time it takes to ZIP several files into a folder depends on the compression level, the number of files, and the size of the individual files. In other words, higher compression means smaller files but longer processing time.&nbsp;</p>



<h3 class="wp-block-heading">Is zipping files the same as compressing them?</h3>



<p class="wp-block-paragraph">A ZIP file is a compressed file, but it also acts as a container. ZIP formats compress data to reduce file size and can package one or many files into a single archive while preserving their original structure and integrity.</p>

<li>Under the <strong>Compress or Encrypt Attributes</strong> tab, select <strong>Encrypt contents to secure data</strong>.</li>



<li>Set a password. Make sure that the password is memorable but not easily guessable, as the data inside the ZIP file won’t be accessible without the password, even for you.&nbsp;</li>

If you want to open the ZIP folder, you can select <strong>Open With</strong> and then a third-party app will be suggested for opening the ZIP file. <p class="wp-block-paragraph">While hovering over the document, you may have seen a few symbols pop up. These are extra quick management tools. From left to right, they are:</p>

<li>Move the file to a folder</li>

<h3 class="wp-block-heading">Folders for sorting documents</h3>



<p class="wp-block-paragraph">Once you’ve uploaded a few of your PDFs and other documents, you’ll start to see how it can get difficult to sort through your documents to find one specific file. Let’s fix that!</p>



<p class="wp-block-paragraph">In the Studio dashboard, click the <strong>+ </strong>icon next to the <strong>Folders</strong> tab. Enter a folder name that will be relevant to a specific document type.&nbsp;</p>

<p class="wp-block-paragraph">To move documents into this folder, return to the documents tab and click the document that you want to move. We’ve clicked the <strong>Resume PDF</strong> in this example. Select <strong>Move File</strong> and then navigate to the folder you just created.</p>

Create multiple folders and even folders within folders for even more powerful file management. <h3 class="wp-block-heading">Searching for documents</h3>



<p class="wp-block-paragraph">Another powerful tool that the PDF.Live Studio includes is the search function, which lets you search for key words, file types, as well as documents that you may have converted or faxed using our tools.&nbsp;</p>

Uploading a PDF — or any file — means you are making a copy of a document that’s on your computer and putting it in an online space like a website, file sharing service, or digital asset manager. Once you upload the PDF, you can then access the document to view or download. In this guide, we explain how to share PDFs online, how to host a PDF online, where to host a PDF online (paid and free), and how to send a link to an online PDF for easy sharing!</p>



<p class="wp-block-paragraph">You’ve put together your PDF document. Maybe it’s a photo collage, a how-to guide, or a short e-book. Whatever the case may be, now you’re looking to share your PDF with others. How do you share documents online? What are some of the best PDF hosting sites? In this guide, we’ll be going through why you would want to host your PDF online and how to get started doing it.</p>



<h3 class="wp-block-heading">Why Would You Need to <em>Share</em> a PDF Online?</h3>



<p class="wp-block-paragraph">If you’ve created a piece of content, you probably want to get it out there for others to read. The method that you use to share depends on the nature of the content and how you intend to get it out there.</p>



<p class="wp-block-paragraph">For example, say you’ve created a short story or e-book, and you want to host the document somewhere it can be viewed online. Alternatively, you may have created an invoice or project proposal that you need to live online, so you can download it and attach the file to an email when you need it.</p>

<p class="wp-block-paragraph">Each method to share a PDF has its uses, strengths and weaknesses, so identify your specific needs before seeking a method to share your document.</p>



<h3 class="wp-block-heading">Why Would You Need to <em>Host</em> a PDF Online?</h3>



<p class="wp-block-paragraph">Hosting a PDF means that the content on the PDF is still yours, it’s just accessible by more people than you. If you’ve written a short story, for example, the file likely lives somewhere on your computer. You want to get that short story out there, so you’ll need to move the file from your computer to somewhere online, so people can view and download the PDF for themselves.</p>



<p class="wp-block-paragraph">Remember: If you change or edit a PDF that’s saved on your computer, you will have to re-upload the edited version online.</p>



<p class="wp-block-paragraph">The cloud services that we mentioned in this guide act as intermediaries; your document is hosted on their cloud, which is really just one big computer hard drive that others can access to see your PDF. While the document that you upload onto the cloud service lives on their site, the original version is still yours and likely lives somewhere on your computer. The PDF on the website is just the version that others can access.</p>



<p class="wp-block-paragraph">Getting a shareable link to your cloud document means that anyone with the link can directly download and view the PDF without having a cloud account. This is best if you’re mass-sharing your document with other people and don’t know who needs to access your link. You can alter the permissions of the original document on the cloud service to make sure no one can edit the document that you’re sharing.</p>



<h2 class="wp-block-heading">Do I Need Cloud Storage or PDF Hosting?</h2>



<p class="wp-block-paragraph">For most users, cloud storage options work for sharing and downloading PDFs.&nbsp;</p>



<p class="wp-block-paragraph">For mass-sharing a document or self-publishing an ebook, you can look into PDF hosting services. The draw of a hosting service that’s specifically meant for ebooks is that they will help you format and share your book, so others can find it. You are essentially “publishing” your book online, so the pricing will vary depending on how involved the process is. For example, some websites like Flippingbook.com allow you to make digital flip-books for pamphlets, books, catalogs, and more. The price of this service varies depending on what other features you want, but it will ultimately require a monthly subscription to use.</p>



<h2 class="wp-block-heading">PDF Cloud Storage &amp; Hosting Options&nbsp;</h2>



<h3 class="wp-block-heading">Cloud storage for PDFs</h3>



<p class="wp-block-paragraph">Cloud storage may sound complicated, but it’s basically doing what a computer already does. The difference is that it’s in an online space.</p>



<p class="wp-block-paragraph">Cloud services allow you to upload documents and files to store through external websites. You access documents in the “cloud,” which is actually a remotely located server. The most significant difference between cloud storage and storage on your computer is that cloud storage services enable you to access documents anywhere from any device.</p>



<p class="wp-block-paragraph">For example, if you create a PDF document while at home on your desktop computer, you can then access it at work on your laptop just by going to the cloud storage website.</p>



<p class="wp-block-paragraph">We’ll cover some of the most common cloud storage services, including OneDrive, Google Drive, iCloud, and Dropbox, but there are a lot of others out there. These services all allow you to upload a PDF online and then share it with others. Essentially, once you upload the PDF, you look for the available options to <strong>share</strong> the document.</p>



<p class="wp-block-paragraph">In <strong>Google Drive</strong>, for example, you can provide access to other people who also have Google accounts, and they’ll be able to open and view the PDF.</p>

<p class="wp-block-paragraph">You can also get a direct link to the document and change the access settings so anyone with the link can view the document. That way, instead of sending a PDF to a bunch of people, you can just share a link to where the PDF is stored so they can open and view it themselves.<a href="https://one.google.com/faq/storage">&nbsp;</a></p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Advantages of cloud storage</strong></p>



<p class="wp-block-paragraph">In addition to the accessibility that cloud storage services offer, they also offer a level of protection that your computer doesn’t have. If your hard drive dies, you risk losing all your files. Couldn’t this happen with cloud storage too, you might wonder? Yes, but that’s highly unlikely. The reason is that cloud storage services use multiple redundant servers that back each other up (in over-simplified terms) to protect your files.</p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Disadvantages of cloud storage</strong></p>



<p class="wp-block-paragraph">The downside of cloud storage solutions is that they have a file space limit to how much you can store online for free. This limit can range from a couple of gigabytes of data to hundreds of GB. However, to get hundreds of gigs of storage, you’ll probably have to pay a monthly subscription. Luckily, PDFs don’t have very large file sizes, so it’s unlikely you’ll fill up a cloud storage service just by uploading PDFs.</p>



<p class="wp-block-paragraph">For organizational users, another downside of cloud storage is that the default encryption keys are typically controlled by the provider (Google Drive, for example).&nbsp;</p>

<p class="wp-block-paragraph">Also, if you’re still editing the document, Google Drive will actively update the file as you make changes, so you won’t be concerned about others seeing an obsolete, older file version. Note that Google Drive does require a Google account for you to use it. It comes with 15 GB of file space for your online documents, which is more than most individual users need. If you meet or exceed this amount, you will need to pay for additional memory, which is incredibly cheap at around $20 for 200 GB a year (for information about small businesses, visit Google for Small Business). <p class="wp-block-paragraph" style="font-size:26px"><strong>Advantages of Google Drive for PDF sharing</strong></p>



<p class="wp-block-paragraph">Sharing large PDFs that are too big to send as email or text attachments is easy with Google Drive. Accounts come with 15 GB of free file space, and it offers both public and private settings for sharing PDFs the way you want.</p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Limitations of Google Drive</strong></p>



<p class="wp-block-paragraph">Requires a Google account for both the sharer and the recipient, though you don’t have to have a Gmail account to create a Google account. This Google help article explains how to set up a Google account without a Gmail address.&nbsp;</p>



<h3 class="wp-block-heading">Dropbox</h3>



<p class="wp-block-paragraph">Dropbox is an online document hosting website that offers similar capabilities to Google Drive without requiring a Google account. Dropbox hosts documents, photos, and anything else you need to use online. With Dropbox you can:</p>



<ul class="wp-block-list">
<li>Host documents online</li>



<li>Share your PDF as a viewable link</li>



<li>Open and sign the PDF</li>
</ul>



<p class="wp-block-paragraph">Dropbox does not offer the same document editing tools as some other options, and is best if you want your document to live somewhere secure. Many cloud hosting services will offer similar features with different names, so the site you use comes down to personal preference. Dropbox, like Google Drive, has a certain amount of file space in the free version but requires a subscription to get more space.</p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Advantages of Dropbox for PDF storage</strong></p>



<p class="wp-block-paragraph">It’s a suitable option for sharing large PDF files that are too large to send as attachments to email and text messages; offers secure file storage; and comes with 2 GB of free file space.</p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Limitations of Dropbox</strong>&nbsp;</p>



<p class="wp-block-paragraph">Two GB goes fast; also, it requires account setup for sharer and recipient, who can expect frequent messages with offers for paid accounts.&nbsp;</p>



<h3 class="wp-block-heading">Scribd</h3>



<p class="wp-block-paragraph">If you want to upload your ebook or essay for public viewing, so people can discover it on their own, Scribd is a great choice for sharing your content. With Scribd, you can:</p>



<ul class="wp-block-list">
<li>Upload PDF, DOC, PPT, and other file types online for viewing</li>



<li>Embed a link to the document in your website or blog</li>



<li>Alter the privacy permissions of your document, so other people can (or cannot) discover your content on their own</li>



<li>Search for ebooks, magazines, and essays made by others that are hosted on the website</li>
</ul>



<p class="wp-block-paragraph">Scribd is a site geared around organically searching for PDFs while still offering some of the sharing capabilities that other cloud hosting sites have. You can use your Scribd account similar to an online Kindle to read ebooks that others have published. Note that while Scribd is free for 30 days, after the trial period has ended, it’s $11.99 a month (prices subject to change).</p>



<p class="wp-block-paragraph" style="font-size:25px"><strong>Advantages of using Scribd for PDF</strong>&nbsp;</p>



<p class="wp-block-paragraph">Scribed offers self-publishing, hosting and sharing discoverable e-books to a potentially wider audience.</p>



<p class="wp-block-paragraph" style="font-size:26px"><strong>Limitations of Scribd</strong></p>



<p class="wp-block-paragraph">It requires a paid subscription.</p>



<h3 class="wp-block-heading">FlippingBook</h3>



<p class="wp-block-paragraph">If you would rather not use a cloud storage solution, there are websites where you can upload and host a PDF online. These websites range from general use PDF uploading to special use cases like FlippingBook, which allows you to make and share e-books. It’s not free, though it offers a low-cost entry-level rate of $19/month (subject to change).</p>



<h3 class="wp-block-heading">PDF Host</h3>



<p class="wp-block-paragraph">If you just want a simple PDF to live online for free, PDF Host allows you upload files to view from anywhere. You can make these files public or private, depending on who you want to share them with. PDF Host has limited functionality because it is free, though.</p>



<h3 class="wp-block-heading">Tiiny.host</h3>



<p class="wp-block-paragraph">Tiiny.host has similar PDF upload and storage services to PDF Host, but with more functionality. You can password protect PDFs, share your PDFs as a link, and even use these links on websites. Tiiny.host has a free trial for 7 days, but after this will require a monthly subscription.</p>



<h2 class="wp-block-heading">Sharing PDF Questions</h2>



<h3 class="wp-block-heading">How do you share the PDF link?</h3>



<p class="wp-block-paragraph">Once your document is uploaded to whatever platform you choose, follow the platform’s steps to Share. Typically, you can either send it directly from the platform or you can get a link, which you can email, text or send via message app.&nbsp;</p>



<h3 class="wp-block-heading">Troubleshooting document uploading</h3>



<p class="wp-block-paragraph">If you can’t upload a PDF online, there may be an issue with the file size of the PDF. If your PDF has a lot of pictures or is several hundred pages, you may hit a cap on how much file room the service you select has. To reduce the file size of a PDF, you may be able to compress PDFs with PDF.Live’s compression tool.</p>



<p class="wp-block-paragraph">If you know file size isn’t the issue, your PDF may have some sort of encryption or security setting that prevents it from being viewable online. To learn more about securing a PDF and how to unlock a PDF, check out our article on the subject.</p>



<p class="wp-block-paragraph">Beyond this, your PDF may be corrupted or have an issue that goes beyond a simple fix. The best solution is to go back to the program you originally built the document on, like Microsoft Word, Google Docs, or PowerPoint, and try to make a new PDF. Try to reduce the page count or remove pages to experiment with what’s stopping the PDF from uploading.</p>

<p class="wp-block-paragraph">It’s very common to use PDFs as the file format of choice for important, sensitive, and secure documents. With such potentially sensitive information contained within electronic documents, you may want to attach a confidentiality disclaimer or statement to your document or the email that you attach your sensitive document to.&nbsp;</p>



<p class="wp-block-paragraph">In this article, we’ll help you assemble your confidentiality notice for PDF documents. We’ll explain a bit about the purpose of a confidentiality statement as well as some examples of how confidentiality statements are used. As a bonus, we’ll explain why you might add a watermark to a PDF for an extra layer of protection!</p>



<p class="wp-block-paragraph">Before we dive in, though, a disclaimer: We are not legal experts nor are we providing legal advice. A confidentiality statement doesn’t guarantee protection from legal consequences or privacy breaches. Consult with a lawyer or legal professional about sharing confidential information. This article is merely to help you craft a confidentiality statement, understand common elements of them, and give examples you can borrow from.&nbsp;</p>



<h2 class="wp-block-heading">Confidentiality Statement Purpose</h2>



<p class="wp-block-paragraph">A confidentiality statement is usually at the back or bottom of a document and has a simple declaration of the confidentiality of the document that it’s attached to. The specific legality will vary based on the nature of the document. In broad terms, a confidentiality statement explains that if the document’s contents are shared without consent, there could be legal consequences.&nbsp;</p>



<p class="wp-block-paragraph">A confidentiality statement is more of a statement of intent or ethical reminder rather than a direct, legally binding contract. Confidentiality statements are not substitutes for formal agreements between two parties. If there is a legal dispute as a result of breaking a document’s confidentiality, the confidentiality statement may be able to support a party’s side of the argument.&nbsp;</p>



<p class="wp-block-paragraph">There are a few types of potential confidentiality statements:</p>



<ul class="wp-block-list">
<li><strong>Confidentiality agreement</strong>: A mutual agreement between two parties to treat the attached information as confidential. This means they cannot share it with outside entities (like other businesses). Usually, both parties share confidential information with each other.</li>



<li><strong>Non-disclosure statement</strong>: Sometimes also called a non-disclosure agreement (NDA), it’s common for one party to create a non-disclosure statement for another specific party to sign so that a document (or other information) is not shared. It can be mutual, but usually it’s created to limit one party from sharing confidential information with another. </li>



<li><strong>Confidentiality statement</strong>: Confidentiality statements are usually one-way and non-specific. In other words, a confidentiality statement may be included in the document, but not specifically signed by the receiving party (the party that receives the document may not be listed in the NDA). This may be less legally binding and act more as a warning, a statement of intent or request, as in, “Please do not share the information in this PDF.” </li>
</ul>



<h2 class="wp-block-heading">Confidentiality Statement Examples</h2>



<h3 class="wp-block-heading">Confidentiality notice</h3>



<p class="wp-block-paragraph"><strong>What is a confidentiality notice?</strong> It is text, usually placed at the start of a document (such as a fax) stating that the contents of the document contain confidential information only intended for specific entities listed. The entities could be listed in a <a href="https://pdf.live/resources/other/fax-cover-sheet-basics/">fax cover sheet</a>. This notice is a disclaimer rather than a legally binding contract. Here is an example of text that could be in a confidentiality notice:</p>

<p class="wp-block-paragraph"><em>This communication and any attached documents may contain confidential or privileged information intended solely for the use of the named recipient(s). <p class="wp-block-paragraph">Again, before sending sensitive information, it’s important to consult with a legal expert about the enforceability of a unilateral phrase such as “strictly prohibited.”</p>



<h3 class="wp-block-heading">Business-oriented confidentiality statement&nbsp;</h3>



<p class="wp-block-paragraph"><strong>What is a business confidentiality statement?</strong> It’s text that might be designed to protect trade secrets or other confidential business information from falling into the wrong hands. The nature of the information could be financial, intellectual, or something else intended to be secure. Here is an example of a business-oriented confidentiality statement:&nbsp;</p>

<p class="wp-block-paragraph">We can’t stress this enough — consult with a legal expert before issuing a unilateral “&#8230;you agree not to disclose…” statement.</p>



<h3 class="wp-block-heading">Privacy statement</h3>



<p class="wp-block-paragraph">For personal usage, this is an example of a brief and direct privacy statement that could potentially be used by an individual who is sharing a PDF or faxing private information to another party:</p>

<p class="wp-block-paragraph">It’s worth repeating: Check with a legal expert about the enforceability of privacy statements.&nbsp;&nbsp;</p>



<h3 class="wp-block-heading">Confidentiality in legal context</h3>



<p class="wp-block-paragraph">Potentially used in legal proceedings or with documents related to legal firms, this statement contains context explaining that the attached fax document has legal implications and should not be viewed or shared by an unintended recipient:</p>

<p class="wp-block-paragraph">This statement suggests that a legal agreement exists prior to sharing information; make sure your legal counsel reviews your processes for sharing confidential information.&nbsp;</p>



<h2 class="wp-block-heading">Watermarking Your Document</h2>



<p class="wp-block-paragraph">Watermarks are transparent pieces of text or pictures that provide context about the nature of a document that they’re placed on. Watermarks are easy to create using a PDF editor. <p class="wp-block-paragraph">So why might you include a watermark on your confidential document?</p>



<p class="wp-block-paragraph">Once you’ve included your confidentiality statement and cover sheet, anyone who receives your fax or emailed PDF will immediately see that the document contains sensitive information. In the absence of a confidentiality statement, they may not know that the information that they’re viewing is confidential. A watermark with text saying <strong>confidential</strong> may alert the recipient that they should not be viewing the document. The watermark might deter someone from making copies and distributing the PDF.&nbsp;</p>

As people search the web for information, there’s a chance your PDF could appear in their search results — if it’s optimized properly.&nbsp;</p>



<p class="wp-block-paragraph">You’ve probably seen a PDF in your search results, even if it’s not immediately apparent. Google indicates when a search result is specifically a PDF rather than a web page. See this example:</p>

This article is concerned with optimizing a PDF so it appears in organic search results, rather than <a href="https://pdf.live/resources/pdf-basics/4-ways-to-optimize-pdfs/">optimizing it for file size</a>. In this article, we’ll explain SEO and how it applies to PDFs.&nbsp;</p>



<h2 class="wp-block-heading">What is SEO?</h2>



<p class="wp-block-paragraph">SEO is a discipline related to optimizing web content for search engines. In simple terms, SEO means creating content that search engines can find and deliver to people who are looking for it. Because people commonly use search engines to find information on the web, understanding how search engines crawl the web is necessary to have your online content, including PDFs, appear in search results. Search engines account for:</p>

<p class="wp-block-paragraph">This title is far more accurate in describing the name, the year, and the nature of the resume. While you may not need to worry about a resume appearing in organic search results, this is an example of how you may rewrite a PDF title to be more accurate.</p>



<p class="wp-block-paragraph">Applying this to the file name of an ebook about plant care, currently named “ebook1,” these would be better options. We suggest using hyphens instead of spaces for web-friendly PDF titles:</p>

<p class="wp-block-paragraph">In a separate article, we cover<a href="https://pdf.live/resources/other-topics/how-to-zip-files/"> ZIP files</a>, which are a form of lossless compression. This means that any data compressed in a ZIP file can then be unzipped with no effect on the original data. ZIP files can be used on images, audio, text/text files, or a mix of many file types. For example, a software program that operates on your computer may be packaged within a single ZIP file that you download and then uncompress to install.&nbsp;</p>



<p class="wp-block-paragraph">The process of compressing files is useful for saving space on your device’s hard drive as well as making files easier to share when uploading/downloading them. However, compressing a file can have potential downsides.&nbsp;</p>



<h2 class="wp-block-heading"><strong>Lossy and Lossless &#8211; Which is Better?</strong></h2>



<p class="wp-block-paragraph">The method that you use will be dependent on the type of data and how you plan to use the compressed file.&nbsp;</p>



<p class="wp-block-paragraph">A JPEG image works well with lossy compression and most programs will automatically compress JPEGs using lossy compression. Compressing a JPEG with a lossy method will result in a slightly lower-quality image but a far smaller file size. Lossy compression may also damage a transparent background, or the legibility of images with a lot of text (such as<a href="https://pdf.live/convert-to-pdf/jpg"> converted PDFs</a>!).&nbsp;</p>



<h3 class="wp-block-heading">Example of lossy compression, before and after</h3>



<p class="wp-block-paragraph">On-screen, the before-and-after differences are barely detectable. Below, we used a 3rd party service called<a href="https://compressor.io/"> compressor.io</a> to compress a JPEG of a closeup of a horse:&nbsp;</p>

<p class="wp-block-paragraph">The lossy compressed version of this file is far smaller than the original, but the quality on-screen barely changes.</p>

<p class="wp-block-paragraph">TIFF, BMP, and RAW images work far better with lossless file compression. The resulting compressed versions of these files won’t be much smaller than the original images, but the quality won’t diminish.&nbsp;</p>



<h3 class="wp-block-heading">Example of lossless file compression, before and after</h3>



<p class="wp-block-paragraph">If you need an image to stay as high quality as possible, lossless file compression is probably better. Again, we used compressor.io to do lossless compression of the horse closeup:</p>

<p class="wp-block-paragraph">However, the disc space that these files will take up on your system is almost exactly the same.&nbsp;</p>



<p class="wp-block-paragraph">Below is the original file next to the compressed versions of the file. The top one uses lossy compression and reduces the file size by 90%. The second compression is lossless and compresses the file size by only 6%. You can see in the before-and-after comparisons below, that the difference is barely detectable.&nbsp;&nbsp;&nbsp;</p>
