<p class="wp-block-paragraph">There are more ways to open a PDF than most people realize — and the right one depends on your device, what you want to do with the file, and whether you already have the right software. This guide covers what a PDF actually is, how to open one on any device, and what to do when a PDF refuses to open.</p>



<p class="wp-block-paragraph"><strong>One thing before you start</strong>: Make sure the PDF you&#8217;re about to open comes from a source you trust. If you&#8217;re not sure, <a href="https://www.virustotal.com/gui/home/upload">VirusTotal</a> is a free web-based tool that&#8217;s owned by Google Security Operations. It scans files against 70+ antivirus engines. Just upload the file and check the results before you open it.</p>

<p class="wp-block-paragraph"><strong><em>What is a PDF?</em></strong> PDF stands for <strong>portable document format</strong>. It&#8217;s a file type designed specifically for sharing. Once a document is saved as a PDF, its formatting stays locked in place no matter where it&#8217;s opened or what device it&#8217;s viewed on. The person receiving it sees exactly what you intended.</p>



<p class="wp-block-paragraph">PDFs are also flexible in another way: A wide range of apps and programs can open them, which makes them one of the most reliable formats for sharing information across the web.</p>

<h2 class="wp-block-heading"><strong>How to Open a PDF</strong></h2>



<p class="wp-block-paragraph">Start by locating the file in your device&#8217;s file manager or downloads folder. On most devices, double-tapping or double-clicking it will open it automatically in whatever program is set as your default PDF viewer. If you haven&#8217;t set one yet, your device will ask you to choose.</p>

<h3 class="wp-block-heading"><strong>Windows PC</strong></h3>



<p class="wp-block-paragraph">On Windows, your web browser is the easiest option, no extra software needed. Just double-click the PDF in <strong>File Explorer</strong>, and it&#8217;ll open in your default browser (Edge, Chrome, or Firefox all handle PDFs natively). You can also right-click the file, select <strong>Open with</strong>, and choose the browser you prefer.</p>

<h3 class="wp-block-heading"><strong>Apple Mac</strong></h3>



<p class="wp-block-paragraph">Mac computers come with <strong>Preview</strong> installed, which is a capable PDF viewer and light editor built right into macOS. Double-clicking any PDF should open it in Preview automatically. You can also right-click and choose <strong>Open With</strong> to use a different app.</p>

<h3 class="wp-block-heading"><strong>Android Phone or Tablet</strong></h3>



<p class="wp-block-paragraph">On Android, head to your <strong>Files</strong> or <strong>Downloads</strong> app and tap the PDF. You&#8217;ll be prompted to pick an app to open it with. If you haven&#8217;t installed a PDF reader yet, your browser can handle basic viewing.</p>

<h3 class="wp-block-heading"><strong>PDF Opener Online (No App Required)</strong></h3>



<p class="wp-block-paragraph">If you can&#8217;t find the file on your device, or you just want a quick way to view and edit PDFs without installing anything, you have two good options. You can upload the file to cloud storage like Google Drive, Dropbox, or OneDrive and open it from there.&nbsp;</p>

<h2 class="wp-block-heading"><strong>PDF Won&#8217;t Open — Now What?</strong></h2>



<p class="wp-block-paragraph">A PDF that won&#8217;t open usually comes down to one of a few things. Here&#8217;s how to work through them.</p>



<h3 class="wp-block-heading"><strong>The PDF Is Password Protected</strong></h3>



<p class="wp-block-paragraph">If the creator locked the PDF, you&#8217;ll need the password to open it. If you&#8217;re the one who locked it and forgot the password, or if you need to adjust access settings, check out our <a href="https://pdf.live/resources/working-with-pdfs/lock-unlock-protect-unprotect/">guide on locking and unlocking PDFs</a>. If someone else sent you a protected file, reach out to them for the password.</p>



<h3 class="wp-block-heading"><strong>The File Didn&#8217;t Download Correctly</strong></h3>



<p class="wp-block-paragraph">Try re-downloading the PDF from wherever you got it. Incomplete downloads can corrupt a file. Once it&#8217;s re-downloaded, try opening it again.</p>



<h3 class="wp-block-heading"><strong>The App Needs an Update</strong></h3>



<p class="wp-block-paragraph">An outdated PDF viewer can sometimes fail to open newer files. Update or reinstall the app you&#8217;re using, then try again. On Windows, you can also right-click the app, select <strong>Properties</strong>, go to <strong>Compatibility</strong>, and try running it in compatibility mode.</p>



<h3 class="wp-block-heading"><strong>The Original File Has an Issue</strong></h3>



<p class="wp-block-paragraph">If you created the PDF yourself, try going back to the original document (Word, PowerPoint, etc.) and re-exporting it as a PDF. If someone else made it, ask them to re-send the file. There may have been a problem on their end when it was created.</p>



<h3 class="wp-block-heading"><strong>The File May Be Malicious</strong></h3>



<p class="wp-block-paragraph">If a PDF arrives unexpectedly from someone you don&#8217;t know, it&#8217;s worth being cautious. Run it through an app such as VirusTotal before opening it. Don’t open a file if it is flagged.</p>

<p class="wp-block-paragraph">PDFs are built to travel. They&#8217;re portable, compact, and consistent across almost any device. So it only makes sense that you&#8217;d want to open and manage them right from your phone. Android makes this possible, but there&#8217;s a catch: Older Android devices don&#8217;t come with an installed PDF reader. You&#8217;ll need a third-party app to open PDF files you download from the web.&nbsp;</p>



<p class="wp-block-paragraph">What&#8217;s the best PDF reader or viewer for Android? Which app should you use? How do you open, view, and edit PDFs on Android? And how do you set a default app so PDFs always open where you want them to? We cover all of that in this guide.</p>

<p class="wp-block-paragraph">Adobe invented the PDF format, so it&#8217;s no surprise their reader <a href="https://play.google.com/store/apps/details?id=com.adobe.reader">Adobe Acrobat Reader</a> is one of the most polished options available. It syncs with Google Drive, Dropbox, and your phone&#8217;s local storage, so you can pull up PDFs from pretty much anywhere.</p>



<p class="wp-block-paragraph">The free version covers the basics well: read, scan, comment, highlight, and make simple edits. Need more? A paid subscription unlocks premium editing tools like converting PDFs, merging files, and advanced form features.</p>



<h3 class="wp-block-heading">Xodo PDF Reader</h3>



<p class="wp-block-paragraph"><a href="https://play.google.com/store/apps/details?id=com.xodo.pdf.reader">Xodo</a> is a solid all-around PDF app that handles both reading and editing. You can annotate documents, fill out forms, sign with a saved signature, and even create new PDFs from images or files stored on your phone. It also connects to Google Drive, Dropbox, and OneDrive, so your files stay in sync.</p>



<p class="wp-block-paragraph">Reading comfort features include high-quality zoom, full-screen mode, and night mode — helpful if you spend a lot of time reading on your phone.</p>



<h3 class="wp-block-heading">Right PDF Reader</h3>



<p class="wp-block-paragraph"><a href="https://play.google.com/store/apps/details?id=com.zeon.Gaaiho.Reader">Right PDF Reader</a> by ZEON Corp is a clean, straightforward reader that&#8217;s great for annotating and organizing documents. It&#8217;s been around since 1993 (ZEON&#8217;s been in the PDF business a long time), and it shows in the app&#8217;s reliability.</p>



<p class="wp-block-paragraph">You can highlight, underline, cross out text, add notes, draw shapes like arrows, and bookmark pages for easy reference. It also includes basic file management tools. You can create folders and compress files into a zip, which are handy if you&#8217;re managing a lot of documents.</p>



<h3 class="wp-block-heading">Is PDF.Live a PDF Reader?</h3>



<p class="wp-block-paragraph"><strong>The short version: Use PDF.Live when you need to do something to a PDF. Use a reader when you just want to look at one.</strong></p>



<p class="wp-block-paragraph">PDF.Live is primarily a PDF editor, not a PDF reader — though there&#8217;s a bit of overlap worth explaining.</p>



<p class="wp-block-paragraph">A PDF reader&#8217;s job is simple: Open a file and display it. Your web browser already does this. PDF.Live goes well beyond that. It&#8217;s a web-based tool for editing text, <a href="https://pdf.live/resources/working-with-pdfs/add-remove-images/">adding images</a>, signing, converting, merging, compressing, and more — all without downloading any software.</p>



<p class="wp-block-paragraph">For just viewing a PDF, a reader or a web browser is the better fit. PDF editors like PDF.Live have more features for tweaking or editing a PDF, but they&#8217;re not designed as reading tools.</p>



<p class="wp-block-paragraph">That said, you can open a PDF in PDF.Live and read it — the same way you could technically read a document in Microsoft Word. It&#8217;s just not what the tool is built for. If you want to read a PDF on your phone or desktop without editing it, a dedicated reader like Adobe Acrobat Reader or your device&#8217;s default browser will feel faster and cleaner.</p>

<p class="wp-block-paragraph">Tap <strong>Set as default</strong>. Here you can allow the app to open supported links and clear any previous default settings.</p>



<p class="wp-block-paragraph">The next time you open a PDF, you might get a prompt asking which app to use. Tap your chosen app and select <strong>Always</strong> (you won&#8217;t be asked again). If you change your mind later, just uninstall the app or clear its defaults in Settings, and your phone will revert to asking.</p>

<h2 class="wp-block-heading">How to Search for Keywords in a PDF</h2>



<p class="wp-block-paragraph">Have you ever downloaded a PDF manual or a pamphlet and needed to find a specific word or phrase? For example, if you’re not sure why your Instant Pot is burning food, you may download its manual in order to troubleshoot the problem. It may seem simple to just download the PDF once you find it, but what if the PDF is 100 pages long?&nbsp;</p>



<p class="wp-block-paragraph">Thankfully, there’s a command that allows you to search certain words or phrases on most devices. This command is <strong>Ctrl + F</strong> on your keyboard if you’re on a Windows device, and <strong>Command + F</strong> if you’re on a Mac. This means that when you have your PDF open with a PDF reader or web browser, you press the Ctrl or Command key and the F button at the same time.&nbsp;</p>



<p class="wp-block-paragraph">A text box will then appear that you can enter a word or phrase in. You’ll then be able to jump to specific places where that word or phrase is within the document by pressing the arrow keys. The text box will also tell you how many times that word or phrase is used in the document.&nbsp;</p>

<p class="wp-block-paragraph">The word or phrase that you’ve entered will be highlighted within the document when you jump to the page.&nbsp;</p>

<p class="wp-block-paragraph">If you’re using <a href="https://pdf.live/resources/pdf-basics/what-is-a-pdf-reader/">PDF reader</a>, you may be able to highlight and bookmark the word or phrase for later use. This will depend on what kind of reader you’re using, however. With Mac’s preview reader, for example, you can create bookmarks for specific lines of text.</p>

<h3 class="wp-block-heading">Troubleshooting Keyword Searches in PDFs </h3>



<p class="wp-block-paragraph"><em><strong>How do you search in a protected PDF?</strong></em> If you can’t find a specific word in a document, and you know it’s there, the text in the PDF may not have renderable, editable text. You can try to save the PDF as a JPEG or other image file (PDF.Live offers <a href="https://pdf.live/#convert-pdf">PDF converting services</a> for this) and then convert it back to a PDF. </p>



<p class="wp-block-paragraph"><em><strong>Why isn&#8217;t CTRL+F finding text in a PDF?</strong></em> It may be the case that the text within the document you’re trying to search is considered an image rather than text. If this is the case, you may have to search and bookmark the page manually. </p>



<p class="wp-block-paragraph"><em><strong>It still isn&#8217;t working. What should I do?</strong></em> If a phrase you’re searching isn’t available, it may be that the author of the manual used different language or phrasing. Try different iterations of the phrase and, if this doesn’t work, search individual unique words in the phrase that may not be found elsewhere. For example, if you’re wondering why your instant pot is burning, instead of searching “<strong>Instant pot burning when using rice</strong>,” just type “<strong>cook burn</strong>” or even “<strong>burn.</strong>” You can’t quite treat it the same as a Google search! </p>



<p class="wp-block-paragraph">If you’re using a PDF reader, you can also look for an <strong>Advanced Search </strong>feature that will try to match individual words within a phrase you type. It may also ignore spacing and other formatting settings of your phrase. Adobe Acrobat, for example, has an advanced search feature.</p>

<p class="wp-block-paragraph">The short answer is yes, there is more that can be done to make PDFs AI-friendly. In this article, we’ll be exploring how AI reads PDFs, best practices for AI-friendly PDFs, and what AI may struggle to understand.&nbsp;</p>



<h2 class="wp-block-heading">How AI Assistants Read PDFs</h2>



<p class="wp-block-paragraph">AI PDF optimization works similarly to <a href="https://pdf.live/resources/working-with-pdfs/optimize-pdf-for-seo/">optimizing a PDF for SEO</a>. The high-level version is that AI, just like SEO, looks for certain tags, keywords, and document structure to understand a PDF. AI recognizes text more easily than images. </p>



<p class="wp-block-paragraph">A PDF that isn’t native, such as a PDF that you’ve scanned, will be considered mostly an image to the AI. It will have to use OCR (<a href="https://pdf.live/resources/other/what-optical-character-recognition-ocr-means/">optical character recognition</a>) to scan through and parse the PDF. This takes time and often produces inaccuracies, so an AI tool will prefer a PDF that’s native.&nbsp;</p>



<p class="wp-block-paragraph"><strong>What is a native PDF? </strong>A native PDF is created with a document editor, where the text is readable and selectable by AI tools and search engines. The text doesn’t have to be scanned by an OCR for the AI to parse it; it will be able to “read” the text on its own, the same way as if you typed in a prompt. </p>



<h3 class="wp-block-heading">Metadata and document structure</h3>



<p class="wp-block-paragraph">If you Google a question and click on the first result, you’ll probably scan through an article, reading the subheadings and headings to see if the article answers your questions.&nbsp;</p>



<p class="wp-block-paragraph">AI isn’t much different. As an AI tool scans a document, it will look through the headings, tables, and other formatting to understand the PDF.</p>

<p class="wp-block-paragraph">Download your PDF and upload it to Claude, ChatGPT, Gemini, or any other AI assistant of your choice. Enter a prompt such as, &#8220;summarize this document and explain it to me,&#8221; to have the AI try to parse your PDF.&nbsp;</p>



<p class="wp-block-paragraph">If the AI is missing a key idea, detail, or section, you may want to give that topic its own subheading, for example.&nbsp;</p>



<p class="wp-block-paragraph">You can also ask more specific questions, such as &#8220;what are the images that this document contains?&#8221; If the AI takes a while to answer this question, it’s probably having a hard time parsing the images, which may be a sign they aren’t properly tagged.&nbsp;</p>



<p class="wp-block-paragraph">In addition to being more SEO friendly, this will also help AI tools understand and interpret the content in your PDF. There’s a high chance that search engines will continue to use AI, so taking these steps to ensure your PDF is AI accessible will keep you ahead of the curve!</p>

<p class="wp-block-paragraph">What is the meaning of OCR in scanning and PDF terminology? What does &#8220;scan to OCR mean&#8221;? How does optical character recognition work? Why would you need to know about OCR technology?</p>



<h2 class="wp-block-heading">Definition of Optical Character Recognition and How It&#8217;s Used in Scanning Technology&nbsp;</h2>



<p class="wp-block-paragraph">Optical character recognition, or OCR, is a useful piece of technology that detects text within scanned documents and images. OCR software is designed to recognize text (and numbers and symbols) in an image and convert it into editable text within an electronic document. The original image could be a digital file, such as JPG, TIFF or other commonly used image formats. OCRs are also useful for scanned PDFs, which we’ll explain.  </p>



<p class="wp-block-paragraph">You may be wondering, why would you want a picture to be converted into text? Well, a picture can be a lot of things. You can take a picture of handwritten notes, a plaque at a museum, or even a physical document, and then use an OCR to convert it to a digital, editable document — typically into a PDF.&nbsp;</p>



<p class="wp-block-paragraph">Why are some PDFs immediately editable using a PDF editable? That’s because these are native PDFs, which are different from scanned PDFs.&nbsp;</p>



<ul class="wp-block-list">
<li><strong>Native PDF</strong>: Native PDFs are created using a digital document editor (Microsoft Word, for example) and whose text fields are editable and able to be copied. A native PDF also could be a file that had been converted from another format, such as <a href="https://pdf.live/convert-to-pdf/word">DOC</a>, <a href="https://pdf.live/convert-to-pdf/excel">XLS</a> or <a href="https://pdf.live/convert-to-pdf/powerpoint">PPT</a>.&nbsp;</li>



<li><strong>Scanned PDF</strong>: A PDF created by scanning a document is, basically, a photo of a document. All the elements in the PDF are a single image. The text in a scanned PDF isn’t editable or searchable without the use of <a href="https://pdf.live/pdf-management/ocr-pdf">OCR technology</a>.&nbsp;</li>

<h2 class="wp-block-heading">How Can I Use an OCR on My Documents?</h2>



<p class="wp-block-paragraph">If you have a scanned document or <a href="https://pdf.live/convert-to-pdf/jpg">a picture that you’ve converted to a PDF</a>, you’ll need to use a PDF OCR to detect and extract the text from the picture and convert it to an editable format.&nbsp;</p>



<p class="wp-block-paragraph">PDF.Live offers two options for this: A manual OCR tool and an automatic OCR.&nbsp;</p>

<p class="wp-block-paragraph">If your PDF conversion takes a couple of minutes, this is probably because the OCR has been engaged.&nbsp;</p>



<p class="wp-block-paragraph">Once your PDF is converted, the text in any images you have should be fully editable in the new format. If you’re finding that the text isn’t editable or are having trouble converting your PDF to another format, this is most likely related to the quality of the scanned document.&nbsp;</p>



<p class="wp-block-paragraph">Try to get a clearer or cleaner scan of the document so our OCR can accurately detect the text. You may need to increase the resolution or size of the scan. You can also try adjusting the position of the document so it’s straighter when you scan it. OCRs may be less effective with converting handwritten notes.&nbsp;</p>



<h2 class="wp-block-heading">How Does an OCR Work?&nbsp;</h2>



<p class="wp-block-paragraph">OCRs may range in specific functions, but they generally work the same way: You import an image file into the OCR. Then, the OCR program locates and recognizes characters such as English letters, numbers, and symbols (e.g. !#^&amp;), and exports the text it finds into a new document. Some advanced OCRs will even try to find and export the size and formatting settings of the text in the image.&nbsp;</p>



<p class="wp-block-paragraph">OCRs also have pattern recognition to detect commonalities in the text that it’s scanning. The letter “K” for example, may look one way when I write it but an entirely different way when you write it. But an OCR can detect patterns in the letters we write to determine what the letter is. Let’s say we both write this sentence:</p>



<p class="wp-block-paragraph">“Lucky Luke likes lakes.”&nbsp;</p>



<p class="wp-block-paragraph">If you took an image of that sentence and imported it into an OCR, the OCR will notice that the letter K is used 4 times in this sentence. You probably wrote that letter the same way all 4 times and will continue to write it that way in the rest of the document that the OCR is scanning. The OCR will also use this sentence to determine how you write the letter “L,” “l,” and more. OCRs cross-reference letters across different instances to make a more accurate digital version of an image.&nbsp;</p>



<p class="wp-block-paragraph">The success rate, or how accurate the text is to the original document, of an OCR will be determined by the quality of the image you import. If your image isn’t taken on a good camera or is low-resolution, the OCR may struggle to produce an accurate document.&nbsp;</p>



<p class="wp-block-paragraph">OCRs are used a lot in the real world. Some <a href="https://play.google.com/store/apps/details?id=com.appsuite.handwriting.to.text&amp;hl=en_US&amp;gl=US">apps</a> on your phone can take pictures of physical notes you made and convert them to digital text. The <a href="https://www.historyofinformation.com/detail.php?entryid=1056">U.S. Postal Service</a> uses OCRs to read letter addresses and sort mail more effectively.&nbsp;</p>



<h2 class="wp-block-heading">Why Use Optical Character Recognition?</h2>



<p class="wp-block-paragraph">OCRs are particularly useful when you want to edit and interact with a piece of text more effectively. If you have physical notes, you can’t use the CTRL + F to search for specific words or phrases. If you made a mistake in your notes or need to add something new, it’s much easier to make a change in a digital document than a physical one.&nbsp;</p>



<p class="wp-block-paragraph">OCRs are also useful if you receive a piece of text that’s difficult to read. An OCR can scan that piece of text and convert it into a digital document that’s much easier to read. You can then increase the font size of that text to make it even more decipherable.&nbsp;</p>



<p class="wp-block-paragraph">While the PDF file format isn’t necessarily an “image,” it also isn’t an editable doc. PDFs are designed to maintain their formatting settings across any device to be easy to read and access no matter what. If you want to edit the text in a PDF, however, you’ll either need to use a PDF reader or <a href="https://pdf.live/convert-pdf-into-editable-pdf">convert the PDF to an editable doc</a>. The main difference is that those tools have more PDF-specific functionality, such as the aforementioned ability to upload a PDF to get summaries. <p class="wp-block-paragraph"><em>By reading this post, you&#8217;ll be able to understand the difference between an accessible PDF vs PDF, what an ADA compliance means for PDFs, and how to create compliant PDFs.</em></p>



<p class="wp-block-paragraph">PDFs are a very popular file format for sharing documents over the web due to their compatibility with any device. In other words, the formatting settings of a PDF are preserved between devices — everyone who opens a PDF will see the same thing. Right?</p>



<p class="wp-block-paragraph">But what if someone is colorblind or has a disability that makes it difficult to read your PDF the way that it’s formatted? This is where PDF accessibility is important. So, what does it mean for a PDF to be accessible?&nbsp;</p>



<p class="wp-block-paragraph">Making a PDF accessible generally means that anyone can understand the information it contains, including those with disabilities. A highly accessible PDF is either easily legible or readable using certain tools that individuals with disabilities utilize, such as screen readers for blind or visually impaired people. PDF creators should recognize that if their documents will be publicly hosted online, or widely shared, their PDF should be as accessible as possible so as many people as possible can understand it.&nbsp;</p>



<p class="wp-block-paragraph">This article will outline everything about PDF accessibility. This includes what makes a PDF accessible, how to make a PDF accessible, and then how to check if a PDF that you’ve created is accessible.&nbsp;</p>



<h2 class="wp-block-heading">ADA Compliance and PDFs</h2>



<p class="wp-block-paragraph">ADA compliance may or may not apply to your organization. It applies to public buildings, state and local governments, and businesses that fall under public accommodations. We&#8217;re not experts in ADA compliance, so you&#8217;re better to consult an expert in the area who can tell you if you must adhere to <a href="https://www.ada.gov/resources/web-guidance/" rel="noreferrer noopener" target="_blank">Americans With Disabilities Act</a>. Technically, the accessibility of documents is governed by Web Content Accessibility Guidelines (WCAG) and Section 508 Standards.</p>



<p class="wp-block-paragraph">Regardless, people search for ADA compliance and PDFs because they <em>want</em> to make their online documents accessible to people with disabilities. So, we&#8217;re not covering how to make web and digital properties comply with government regulations; for that, look for an accessibility consultant.&nbsp;</p>



<h2 class="wp-block-heading">What Makes a PDF Accessible?</h2>



<p class="wp-block-paragraph">There’s no single software that you can use to make PDFs accessible. Rather, PDFs that are accessible follow certain guidelines to ensure they’re legible by everyone. There are a few different PDF accessibility guidelines that are outlined in the <a href="https://www.epa.gov/web-policies-and-procedures/web-standard-pdf-accessibility-requirements">Web Standard: PDF Accessibility Requirements</a>. We’ll give some general tips to make PDFs more accessible later on, but these requirements cover a lot more than making PDFs readable for those with disabilities. The web standards apply to websites, applications, mobile apps, and digital properties. That said, these guidelines acknowledge that PDFs aren’t immediately accessible by everyone, including those with disabilities.&nbsp;</p>



<p class="wp-block-paragraph">An accessible PDF will be tagged with specific metadata that marks it as accessible. For example, a PDF will have paragraph breaks, headings, and sections marked so that a screen reader software can recognize them. Pictures will have metadata descriptions so that visually impaired individuals will still understand the information that a picture is trying to convey.&nbsp;</p>



<h2 class="wp-block-heading">How Do I Make My PDF Accessible?&nbsp;</h2>



<p class="wp-block-paragraph">The best step would be to review the <a href="https://www.epa.gov/web-policies-and-procedures/web-standard-pdf-accessibility-requirements">Web Standard: PDF Accessibility Requirements</a> and the general <a href="https://www.w3.org/TR/WCAG21/">Web Content Accessibility Guidelines (WCAG)</a> to understand what it means for a piece of web content to be accessible. There are a few general tips to follow so that you, a PDF creator, can make your PDFs more accessible.&nbsp;</p>



<ul class="wp-block-list">
<li>Best practice is to only share PDFs that have been converted from Microsoft Word, Google Docs, or other character-based applications — not a scanned picture. Text in a scanned picture will not be legible by a screen reader, since it’s considered a picture.&nbsp;</li>



<li>Add alt-text for images, graphs, and tables, so the information is easy to understand without having to see it. To do this, add the alt text through the original program that you created the document in — Word, Google Docs, Excel, PowerPoint, etc. Right-click the image, and select <strong>View Alt Text</strong>.</li>



<li>Follow<a href="https://www.w3.org/WAI/WCAG21/Understanding/use-of-color.html"> color accessibility guidelines</a>. For example, do not use color and only color to differentiate certain vital information in a graph. Consider using patterns or labels so that anyone can notice the differences between data points.&nbsp;</li>



<li>If your PDF has a form field, ensure that a user can tab through the fields using only a keyboard, in case they cannot use a mouse.&nbsp;</li>
</ul>



<p class="wp-block-paragraph">To make these changes, you will need to use a PDF editor such as <a href="https://pdf.live/convert-pdf-into-editable-pdf">PDF.Live’s editor</a>. <h2 class="wp-block-heading">How Do I Check If My PDF Is Accessible?</h2>



<p class="wp-block-paragraph">There are some free tools available online for checking if your PDF is accessible. These tools may be plugins for PDF readers, or separate programs entirely. Some paid tools, such as Adobe Acrobat Pro DC, will let you add certain accessibility features such as metadata about the title, author, and date of the PDF. If you plan to host a PDF publicly or share it with a large audience, we recommend checking <a href="https://pdfua.foundation/en/">PDF/UA</a>, a nonprofit that offers a free accessibility checker (requires download).&nbsp;</p>



<p class="wp-block-paragraph">You can also do manual checks yourself, which isn’t that hard. Using a manual method, you review a PDF accessibility checklist to ensure your PDF is mostly accessible to users. <a href="https://webaim.org/techniques/acrobat/acrobat">WebAIM has a guide</a> on setting up accessible PDFs in Adobe Acrobat Pro DC.</p>



<p class="wp-block-paragraph">Alternatively, you can review the <a href="https://www.w3.org/TR/WCAG21/">Web Content Accessibility Guidelines (WCAG)</a> to review how to make certain elements of your PDF accessible. For example, these guidelines include how to set up colors in documents and tags for headings.&nbsp;</p>



<h2 class="wp-block-heading">What does an accessible PDF look like?&nbsp;</h2>



<p class="wp-block-paragraph">About the same as any other PDF. Someone who isn’t utilizing a text reader or isn’t aware of accessible PDFs won’t notice any difference in the PDF. There’s a good chance that you’ve read a PDF that’s been set up for accessibility without even knowing it!&nbsp;</p>
